terms & conditons - AUSTRIAN ALPS retreat 2023
Please read these terms and conditions ("Agreement") carefully before registering for the Workshop “Austrian Alps Retreat 2024” hosted by Aida & Tim Glowik.
This Agreement outlines the rights, responsibilities, and expectations of participants ("Participants")
and the Host.
By registering and participating in this workshop (also referred as retreat), you acknowledge and agree to the following terms:
1. registration & payment
Investment:
Early-Bird ticket: €849 + 19% VAT until January 25, 2024.
A down payment of €199 + 19%VAT is required latest by January 25, 2024 to secure your spot (first come, first served). The final payment of €650+ 19%VAT is due latest by February 15, 2024.
Regular ticket: €999 + 19%VAT starting January 26, 2024. You can pay the full amount or a two-part installment payment can be arranged.
Photographers who have joined us on one of our previous retreats get a €50 + 19%VAT discount.
Please read the section “2.2 Cancellation Policy” for more details.
Form of payment: You will receive 1 -2 invoices from us.
Payment in relation to sleeping arrangements & business partners (Early-Bird Ticket):
For the normal ticket price of €849 + 19% VAT, you get your own room (first come, first served).
If you book a ticket with a friend and both of you are okay with sharing a room with one king-sized bed, you both get a 50 Euros + 19% VAT reduction on your tickets.
There is one room with two single beds to be shared. In this case, each person pays €749 + 19% VAT (first come, first served) and we might need to make changes depending if an issue arises due to male/female attendees.
If you would like to join our retreat as a team, you can purchase the second ticket for 649 Euros + 19% VAT. You will need to share a room. No additional discounts possible!

2. refund & cancellation policy
We understand that circumstances can change, and we strive to provide a fair refund and cancellation policy for our workshop participants. Please read the following policy carefully before purchasing your workshop ticket.
2.1 refund policy
Refund Requests: Refund requests must be submitted in writing to mail@aidaandtim.com and received by the specified deadlines outlined below.
Full Refunds: 100% of the paid ticket price will be reimbursed for cancellation requests received latest by January 25, 2024.
Partial Refunds: For cancellation requests received between January 26, 2024 and February 14, 2024 50% of the paid ticket price will be reimbursed. For cancellation requests received between February 15, 2024 and February 22, 2024, a 25% of the paid ticket price will be reimbursed.
No Refunds: Unfortunately, we cannot issue refunds for cancellation requests received after February 23, 2024.
Note: You can sell/transfer your ticket to someone else, as long as you do not sell it for more money and make a profit. We cannot help you find a replacement - but please notify us right away.
Processing Time: Refunds will be processed within 10 business days after the cancellation request is approved.
2.2 cancellation policy
Workshop Cancellation:
A.) In order for the retreat to take place, we require 3 participants to have paid a down payment of €199 + 19%VAT latest by January 25, 2024. If we do not have the minimum required number of participants at by this time, the retreat will be cancelled and you will be refunded in full within 10 business days.
B.) If the retreat is a go after January 25, 2024, and afterwards in the unlikely event that we need to cancel the workshop due to unforeseen circumstances (not including points stated in the Force Majeure below), participants will receive a full refund of only their ticket price - any additional expenses occurred will not be covered by us.
Workshop Rescheduling: If the workshop dates are rescheduled for any reason, participants will have the option to attend the rescheduled dates or receive a full refund of only the ticket price - any additional expenses occurred will not be covered by us.
How to Request a Refund or Cancellation:
To request a refund or cancellation, please email mail@aidaandtim.com with the subject line "Workshop Refund/Cancellation Request - [Your Name]." Include your full name, contact information, invoice number, and the reason for your request. Refund requests will be reviewed and processed according to the policy outlined above.
Force Majeure Clause:
In the event that either party is unable to fulfill its obligations under this agreement due to circumstances beyond its reasonable control, including but not limited to acts of God, natural disasters, government regulations, terrorism, war, strikes, civil unrest, epidemics, pandemics, or any other similar event (collectively referred to as "Force Majeure Event"), the affected party shall promptly provide written notice to the other party detailing the nature and expected duration of the Force Majeure Event.
During the period of the Force Majeure Event and as long as it continues, the affected party's performance under this agreement shall be excused and delayed, and the time for performing such obligations shall be extended by a period equal to the duration of the Force Majeure Event.
The parties acknowledge that they shall use their best efforts to mitigate the effects of a Force Majeure Event and to resume the performance of their obligations under this agreement as soon as practicable.
Neither party shall be entitled to compensation or damages from the other for any losses, expenses, or inconveniences incurred as a result of a Force Majeure Event, except for any payments due and owing under this agreement up to the date of the Force Majeure Event.
NOTE
All refunds will be issued in the same form of payment used for the original purchase.
Any non-refundable fees associated with payment processing are the responsibility of the participant.
By purchasing a ticket to our retreat, you acknowledge that you have read and understood our refund and cancellation policy and agree to abide by its terms.
3. content
The Host will provide details about the retreat timeline. Nevertheless, the Host retains the right to make adjustments to the timeline if needed.
The Participant needs to provide the Host with the topic for the 1:1 mentoring session latest 1 week before the start of the retreat. The topic has to be agreed upon by both the Participant and the Host. This is only relevant if the Participant has selected doing a mentoring session instead of a personal branding session.
If the Participant has selected to do a personal branding session, the Host will provide the Participant with 20 edited jpeg images as well as the matching raw data.
The Participant must credit the Host whenever posting/using these images.
4. code of conduct
Participants are expected to conduct themselves professionally and respectfully toward fellow Participants, instructors, models, and staff.
Any disruptive or disrespectful behavior may result in removal from the Workshop without a refund.
5. Liability & release
Participants are responsible for their own safety during the retreat and any related activities. The Host is not liable for any injuries, accidents, or damages that may occur.
Participants release the Host and its representatives from any claims, liabilities, or damages arising from their participation in the retreat.
6. EQUIPMENT & PERSONAL BELONGINGS
Participants are responsible for their own camera equipment and personal belongings.
The Host is not responsible for any loss, theft, or damage to these items.
7. PRIVACY
Personal data collected during the registration for the workshop will be stored and processed electronically but will not be disclosed to third parties. Each participant also has the right to receive free information about all personal data stored about them by the workshop organizer.
In addition, the participant has the right to correct inaccurate data and the right to block/delete their personal data, provided there is no legal obligation to retain it.
8. SALVATORIAN CLAUSE
If individual provisions of this contract are ineffective or impracticable, or become ineffective or impracticable after the conclusion of the contract, the validity of the contract as a whole shall not be affected. In place of the ineffective or impracticable provision, the effective and practicable provision shall be deemed to have been agreed upon, which comes closest to the original provision that the parties intended with the ineffective or impracticable provision.
By registering for the retreat “Austrian Alps Retreat 2024”, Participants acknowledge that they have read and understood this Agreement and agree to abide by its terms. This Agreement constitutes the entire understanding between the parties concerning the retreat and supersedes all prior agreements or understandings, whether written or oral.
You will receive the details on the “Retreat Images Usage Rights Agreement” via email, before the workshop starts.
Amendments to these Terms & Conditions will be made if necessary.
